Our Three Step Process
Referral network restructure for Suffuse Wellness

Sarah Morgan, RN, runs Suffuse Wellness in Midland. She was struggling to figure out where more than half of her referrals were going. Following a thorough conversation and a deeper analysis, we restructured the whole referral network and booking process from the top down. She's been closing everyone since.
Client background
Suffuse Wellness runs NeuroCalm, an assessment-first program that independent practices refer people into: a dental office, a massage clinic, a fitness studio. Sarah came to me wanting three things. More leads. The site's copy brought in line with the College of Nurses of Ontario's June 2026 guideline on aesthetic services. And an answer to why more than half of her referred patients were walking out at the price conversation.
Challenge
That answer became more clear the deeper I dug. The disconnection between partners was becoming more visible in every patients story. The sole purpose of NeuroCalm is to find the right next step, not hide it.
When you come to a fork in the road you want a sign that points you in the right direction, not every direction. So the first step was showing her sign that points to the right direction.
Solution
Compliance first. I audited the site against the June guideline, rewrote the copy across it, and rebuilt the NeuroCalm page so it says exactly what the program is and isn't.
The Referral partner package. We brought the partners closer together into tighter knit community with a retailored referral program. Expectations every partner sets with every patient is simplified to be understood universally. No fees, no maintenance. Structured strategically so nothing goes stale. One version for every partner type, with clear roles of engagement, so everyone is on the same page, all the time.
The booking process. I restructured the consultation process and the way a referral moves from a partner's front desk to Sarah's assessment. So expectations are set before anyone books or walks in.
Results
Before the change she was losing more than half of her referred patients at the price conversation. After the package went out to every partner, she's been booking every one that came through, and hasn't looked back since.
